Colgate Libraries Course Reserves Policy

The Colgate University Libraries’ Reserve services are available at both Case Library and Cooley Science Library. These services are heavily used by students needing access to both required and recommended readings. Materials for your classes can be made available through both print and electronic formats at each of the libraries.

Before materials are placed on hard copy reserve or electronic reserve through Moodle, their use must adhere to the Libraries’ Copyright Policy also based on the American Library Association's Model Policy Concerning College and University Photocopying for Classroom and Library Reserve Use as a guideline for providing reserve services.

Procedures

-Submission Deadline and Processing Time-

Library or personal copies of books and media and copyright compliant photocopies may be placed on reserve. To guarantee that your materials are available for the beginning of the semester, submit them no later than four weeks before the first day of classes. Once the semester has begun, allow at least two business days for processing.

-General Information-

Please provide a copy of the course syllabus to reserves staff to facilitate processing.

Materials submitted without a complete bibliographic citation or a completed reserves from will not be processed for reserve use and will be returned to the instructor.

Please provide students with complete bibliographic information in your syllabus.

Circulation staff will stamp all copies with a copyright notice, “Notice: This material may be protected by copyright law. (Title 17 U.S. Code).”  Library staff will scan and attach all copies to your Moodle course site.

Items borrowed from another library or rented can not be placed on reserve.

-Placing an Item on Reserve-

Please complete a Library Reserves Form, listing the item you will be placing on reserve.  Printed pdf forms may be submitted through campus mail.  Online forms may be submitted electronically if the instructor is not submitting a photocopy or personal copy.  Online forms may be printed and submitted through campus mail if the instructor is submitting photocopy or a personal copy.  Submitting the form certifies the faculty member placing materials on reserve is aware of the provisions of Copyright Law and is in compliance with them.

-Materials That Can be Placed on Reserve-

Books owned by the libraries

  • Submit a reserves form online, by campus mail or by personal delivery to the Circulation Desk at Case or Cooley Library.

    Note: Electronic books owned by the libraries generally can not be placed on reserve due to licensing restrictions. If paper versions of electronic books are available, the libraries will attempt to purchase them if needed for reserve use. You may request them using the online form or contacting the Acquisitions department. Please be sure to indicate that the item is for reserve and the course number.

Books and other Items owned by the instructor

  • Submit a reserves form by campus mail or by personal delivery to the Circulation Desk at Case or Cooley Library, together with the item to be placed on reserve. Completed online forms may be printed and used for this purpose.

    Examples in this category include books and other materials from your personal collection and lab notes or other materials produced for the course. THESE ITEMS CANNOT BE REMOVED FROM THE LIBRARY OVERNIGHT WITHOUT YOUR WRITTEN PERMISSION PRIOR TO CHECKOUT.

Other books not owned by the library:

  • The library will attempt to purchase books needed for reserve use. You may request them using the online form or contacting the Acquisitions Department. Please be sure to indicate that the item is for reserve and the course number.

    Number of copies: For hard-copy reserves, we recommend one copy for every ten students depending on the length of the reading. If additional copies of books will be required, please let us know and we will order them. Also let us know if your bookstore order included extra copies that the library could purchase. Please allow three weeks for delivery and processing of new books. The library will pay for the first two books ordered; additional copies could be charged to your department

Films:

  • All films (videos/DVDs) scheduled for class viewing are put on a 3-hour library-use-only for students at Case Library. If you need assistance with equipment, scheduling a room, or showing a film please contact Media Services at x7239 or see the e-mail contact information listed below.

Journal Articles:

  • Articles available online through the Colgate Libraries Journal Finder.

    Submit an online or printed reserves request form.

  • First-time use of an article not available online.

    Provide a clean photocopy accompanied by:
    -Full bibliographic citation for each item to conform to the Libraries’ Copyright Policy
    -A completed Library Reserves Form.

  • Second or subsequent use in a given course taught by a given instructor

    Submit an online or printed reserves request form.

Web pages:

  • Pages must be freely accessible and may not require access fees or registration.  Faculty must provide a full bibliographic citation, including the page URL. 

-Suggested Loan Periods-

  • The 2-hour reserve period works well for required reading materials in Case Library and keeps them available for frequent use.
  • The 4-hour reserve period is automatically applied to all video and sound recordings.
  • The 3-day reserve period is useful for materials which a few students will need for writing papers during the term.
  • The 1-day (24 hours) reserve period is useful for items that need a longer reading period but not enough to qualify for the 3-day loan.

-To View a Reserve List-

You can search for your reserve lists in the online catalog by instructor, course name, or course number. As soon as items are placed on reserve, they will appear in the catalog.

IMPORTANT NOTICE ABOUT COPYRIGHT:
The digitization and distribution of copyrighted materials through electronic reserves is subject to United States copyright law (Title 17, USC), and Fair Use Copyright Guidelines-copyright limit of 10% or one chapter, single poems, single articles from a journal issue, several charts, graphs or illustrations, and other similar small parts of a work.
Most publications contain information indicating the copyright holder. Addresses of the publisher are usually listed in the front of the copyrighted material. If you need help determining copyright owner or publisher address, please ask for help at the Reference Desk by calling x7303 or emailing the Ask a Librarian service at http://exlibris.colgate.edu/services/reference.html or consult the links below.  We have provided a sample permission letter to send a copyright holder if needed. This should be sent on Colgate University letterhead by snail mail or electronically from your Colgate email account via email.
Permissions should be requested in the following situations:

  • The material placed on hard copy reserve or electronic reserve through Moodle is being used for more than one semester 
  • If you wish to put more than a brief amount of copyrighted material on hard copy reserve or or electronic reserve through Moodle as described in the Libraries Copyright Policy
