Title:  Assistant Archivist   (full time)

Specific Duties:

  1. Processing collections
    1. In consultation with the Head of Special Collections and University Archivist, develop an overall strategy for bringing the University Archives and other collections in line with professional archival standards and best practices.
    2. Arrange and describe collections in all formats.
    3. Use the Archivists’ Toolkit to create EAD collection guides, MARC records, and other finding aids in accordance with DACS.
    4. Document workflows and procedures to create a processing manual for archival materials.
    5. Work with the Head of Cataloging to include MARC records for University Archives materials in the library’s online catalog.
    6. Accession new acquisitions.
    7. Perform basic preservation tasks on collections as needed.
  2. Records management
    1. Facilitate the transfer and storage of inactive records from university departments and offices.
    2. Collaborate in the development of a records management program that includes the eventual collecting of electronic records.
  3. Digital Commons (CUL’s institutional repository)
    1. Acquire content that falls within the repository’s collection development policy.
    2. In collaboration with the Library’s Digital Commons team, create and revise policies and submission procedures.
  4. Access services
    1. Provide reference services to members of the Colgate community and other researchers.
    2. Assist researchers in identifying materials relevant to their research.
    3. Manage the fulfillment of reproduction requests in analog and digital form.
    4. Manage the reading room.
    5. Ensure the proper storage of hold materials.
    6. Retrieve materials for researchers.
    7. Order call slips and registration books and maintain reading room supplies.
  5. Hire and supervise student employees.
  6. Support the department’s instructional and outreach programs.
    1. Help create and mount exhibits that highlight important aspects of the library’s collections, particularly as they relate to the curriculum and important university events.
    2. Support class instruction sessions.
    3. Participate in the department’s digital programs and utilize ContentDM, Omeka and other digital content systems.
    4. Manage and maintain the department’s web pages within the Libraries’ established standards.
    5. Create documentation, finding aids, and web guides for print and digital collections which promote the use of Special Collections and University Archives to both the local and outside scholarly communities.
    6. Participate in department open houses for Family Weekend, Reunion and other events.
  7. Work with the other members of the Special Collections and University Archives department to ensure the security of the collections.
In addition to specific job responsibilities, all library faculty:
  • Participate in the faculty liaison program, specifically as a liaison to university offices and groups.
  • Work cooperatively and in partnership with the Head of Special Collections and University Archivist to develop and manage the collection.
  • Participate in library faculty governance.   
  • Participate in University governance and/or serve the University in other ways as appropriate.
  • Demonstrate an active commitment to the library profession as described in the Library Faculty Handbook.
