Course Reserves for Faculty


The Colgate University Libraries’ Reserves services are available at both Case-Geyer and Cooley Science Library. Course materials can be made available in print at either of the libraries or electronically via Moodle.

Items placed on reserve must adhere to the Libraries’ Copyright Policy, which is based on the American Library Association's Model Policy Concerning College and University Photocopying for Classroom and Library Reserve Use.


General Information
  • Materials submitted without a complete bibliographic citation or a completed reserves form will be returned to the faculty member unprocessed.
  • Items borrowed from another library or rented can not be placed on reserve.
  • Circulation staff will stamp all copies with a copyright notice, “Notice: This material may be protected by copyright law. (Title 17 U.S. Code).”
Placing an Item on Reserve

Begin by completing a Library Reserves Form.  

The form is available online and as a printable pdf.

  • Please use the online form for reserves requests that do not require personal copies or photocopies.
  • Please use the printable form to accompany personal copies or photocopies. These forms should be submitted through campus mail or directly to the Case-Geyer or Cooley Circulation Desks together with the materials for reserves.

Submitting the form certifies the faculty member placing materials on reserve is aware of the provisions of Copyright Law and is in compliance with them.

Submission Deadline and Processing Time

To guarantee that reserves are available for the beginning of the semester, submit materials no later than four weeks before the first day of classes. Once the semester has begun, allow at least two business days for processing.

What Can be Placed on Reserve?

Books owned by the libraries
Books and other items owned by the faculty member


eBooks owned by the libraries
  • ebooks from selected collections, e.g. ebrary, may be put on reserve
    • Submit a Library Reserves Form
    • Note: A few electronic books owned by the Libraries can not be placed on reserve due to licensing restrictions. Borrowing services staff will inform the instructor if the title requested is unavailable due to licensing restrictions and discuss possible options.
Books not owned by the libraries or the faculty member
  • The library will attempt to purchase books or ebooks needed for reserve use. You may request them using the Purchase Request form or contacting the Acquisitions Department. Please be sure to indicate that the item is for reserve and the course number.


Journal Articles and Book Chapters

Library staff will link readings directly to your Moodle course site.

Articles available freely online

Pages must be freely accessible and may not require access fees or registration. Faculty must provide a full bibliographic citation, including the page URL. 

An article not available online

Provide a clean photocopy accompanied by:

  • Full bibliographic citation for each item to conform to the Libraries’ Copyright Policy
  • A completed Library Reserves Form.

Library staff will scan and attach all copies to your Moodle course site.

Book Chapter

A portion of a book may be placed on reserve within the Library's Copyright Guidelines.

Library staff will scan and attach all copies to your Moodle course site.

Film and Sound Recordings

All films (videos/DVDs) scheduled for class viewing are put on 4-hour library-use-only reserves for students at Case-Geyer Library.

Loan Periods

  • 2 hours
  • 4 hours (automatically applied to all film and sound recordings)
  • 1 day (24 hours)
  • 3 days

Viewing Your Reserve List

You can search for your print reserve lists in the online catalog by instructor, course name, or course number. As soon as items are placed on reserve, they will appear in the catalog.

For electronic reserves, see your Moodle course page. Faculty members need to activate the Moodle viewing priviledges for their students through the Moodle interface.
