VISITING BORROWERS GUIDELINES & POLICIES

Who May Borrow from Colgate?

Regular Borrowers: Persons Presenting Colgate-Issued Identification

  • Colgate University Students
  • Colgate University Faculty/Administration/Staff
  • Faculty and Administrators Emeriti
  • High School Students registered for Colgate courses

Reciprocal Borrowers: Students and Faculty Presenting Identification Issued by the Following Institutions

  • Hamilton College
  • SUNY Morrisville
  • SUNY Utica
  • LeMoyne College
  • Herkimer Community College

Faculty and students of the above schools are considered Reciprocal Borrowers.  Reciprocal Borrowers must present a current, valid ID from institutions with which Colgate has established an agreement to offer reciprocal borrowing privileges. Upon presentation of the ID, reciprocal borrowers receive a Visiting Borrowers Card to be used in checking out materials.

Visiting Borrowers Not Subject to a Fee

  • Trustees and Trustees Emiriti
  • Alumni living in Madison County or towns listed below
  • Upstate Institute Lifelong Learning Program

Visiting Borrowers Subject to a Fee

  • Visiting Borrowers not in categories listed above must be

    • Residents of - Cities and towns within a 25 mile radius of Colgate University OR
    • Faculty of - School districts within a 25 mile radius of Colgate University

  • Fee - The Visiting Borrowers fee is $5.00 per year.
  • ID - Proof of residency is required.  A driver’s license or other legal document showing residency with picture and address is required for a copy to be placed on file. Faculty from school districts should provide proof of employment if their residence falls outside of the residency requirement.
  • Application Procedure – Individuals must be 18 years of age or older to apply for a Visiting Borrowers card.  Applications are available at the Circulation Desk in the Cooley Science Library or at the Case Library and Center for Information Technology.  You can also download a Visiting Borrower Application.
  • Library Cards - Visiting Borrowers will be issued a Colgate University Visiting Borrowers Library card.  Borrowers must use this card when checking out materials.
  • Use of Library Card – Borrowing rights can not be transferred to others such as spouses or family members.
  • Patrons currently holding Colgate University Visiting Borrower Cards – Effective 11/1/07, all current Visiting Borrower cardholders will be required to follow the visiting borrower guidelines with regard to fee and resident status.  Those borrowers in good standing outside of the residential criteria, and who have a less than1 year expired card will be granted continuation status as an individual. Current cardholders will no longer be allowed extended family borrowing privileges.

  • Restrictions – With the exception of US Government Documents collections, the following collections and services are not available to visiting borrowers:  class reserves; Connect NY or Interlibrary Loan requests; media collections such as DVD’s. & VHS tapes; electronic materials licensed to current faculty and students; checking out of periodicals; recalls of items; study carrels; lockers; and group & seminar rooms.

  • Renewals -  One additional renewal for 5 weeks can be made on line by going to the Colgate Library home page; Library Services; My Library Account; and typing in your last name and barcode number on the back of your Visiting Borrowers Library Card.
  • Fines and Overdues – Visiting Borrowers are responsible for overdue fines and replacement charges for lost materials.  Outstanding charges and overdue material will block borrowing privileges.  Four weeks after the due date, overdue materials are billed for the cost of the book as well as a processing and billing fee. All charges must be paid at the cashier's window of the Office of Accounting & Control in James B. Colgate Hall. The Libraries cannot accept payment.
  • Recalls – Books checked out may be recalled after 14 days.  All items needed for reserves are subject to recall at any time and are due back immediately. Holds and recalls are not available to visiting borrowers.  All overdue recalls are subject to fines and borrowing privileges are blocked.
  • Library Services – Visiting Borrowers may have access to photocopiers (with purchase of a gate card $1.00 for 10 copies); microfilm, microfiche readers and printers; computers (as available) in the reference area.
  • General – Colgate University maintains its libraries for use by Colgate students, faculty and staff in support of instructional goals of the university. Visiting Borrowers need to be aware that, except for services required for the use of US Government Documents, members of the Colgate community always have priority in the use of services including but not limited to: Reference Librarian assistance, online databases, and computers.   Proprietary database searching is available at the discretion of the Reference Librarian and subject to license restrictions.
  • Government Document Use - All Government Document Collections, regardless of publication format, are available for use by the general public, in the libraries, at no charge. Temporary access by non-library cardholders wishing to use US Government Documents stored in the Library Automated Storage and Retrieval System may be obtained by presenting a valid drivers license, passport, or document with similar legal status.  This ID will be held at the Circulation Desk while patron uses materials. 
  • Food & Drink Policy - Food is not allowed in the library.  Drinks in covered cups are allowed. The Hieber Café and the Flexible Space room 565 located on Level 5 are venues for all foods to be consumed while in the library.
  • Miscellaneous - Colgate reserves the right to deny, suspend, or rescind borrowing privileges at the discretion of library staff for reasons that include violation of local, state or federal laws, or violations of library or university policy, or upon recommendation from Campus Safety.
